REQUISITOS:Job description (roles and responsibilities) main purpose of job this is a unique position in bogota, which offers a fascinating opportunity to work at the heart of the uk-colombia bilateral relationship, ensuring that her majesty-s ambassador (hma) and the deputy head of mission (dhm) have the support they need to operate with maximum effectiveness. The successful candidate will be responsible for the leadership of the private office team. You will need a proven ability in delivering results and making effective decisions, particularly when managing the flow of work to and from hma/dhm and quality control of submissions from across the embassy. As first point of contact, you will ensure that all staff are able to get information to, and advice from, hma and dhm in a timely manner. The successful candidate will be persistent, tactful, self-confident, organised, think about the bigger picture and be flexible. Being effective in this role requires an aptitude for building strong and trusting partnerships, proven ability to work proactively and collaboratively in a team will be key to success in the role. You will help colleagues understand hma’s and dhm’s requirements and ensure that private office is seen as accessible, reliable and efficient. You will frequently need to shift from big picture strategic thinking, to practical problem solving, ensuring private office processes and routine corporate responsibilities are maintained to a high standard. You will work closely with colleagues in the embassy to ensure the ambassador and dhm regularly engage with the most important people in the administration, congress, business, media, opinion formers and others in colombia and wider uk stakeholders. What will the jobholder be expected to achieve? the successful candidate will need the self-confidence, persistence, resilience, tact and language skills to engage with the offices of senior colombians to secure the ambassador’s appointments. Excellent organisational and administrative skills are also required to ensure the diary runs smoothly and deadlines are met. This role is the public face for our many customers and stakeholders. The incumbent has a wide range of responsibilities and the successful candidate will need to assess conflicting priorities, often under pressure. Head of private office lead and oversee private office operation, cover for private office colleagues during annual leave and heavy workloads. Work together with private office and cross-embassy teams to ensure that hma/dhm and embassy colleagues are getting the support they need, effectively sharing information as necessary. You will ensure follow-up actions from meetings are taken forward swiftly and regularly reviewed. Working with the dhm, you will monitor progress against the country business plan, and ensure top risks and issues are both identified and proactively managed. You will have strategic oversight of diary, travel and residence events and will be expected to provide timely advice and prioritisation in terms of meetings, travel, events, strategy and approach of the executive office; all to support the best use of hma’s and dhm’s time and generate maximum impact. As part of this, you will work with heads of section to ensure every event and visit is proactively maximised from a whole of embassy perspective. You will be in charge of hma’s diary in bogota and ensure his engagements contribute to -one hmg- (her majesty-s government) objectives and that his time is fiercely focussed on his priories. You will liaise with cross-embassy teams and hma’s close protection team to ensure the programmes run smoothly and efficiently. Ensure quality control of documentation provided by teams or others. Guarantee that all communications from private office to internal and external stakeholders are held to a high standard. Budget management you will be responsible for the forecast of hma’s and dhm-s catering and travel budget. Oversee expenditure, provide accurate updates to hma, dhm and corporate services. Advise on general costs of hma and dhm’s programmes. Perform other tasks requested by hma, dhm and relevant stakeholders to achieve -one hmg- objectives. Resources managed (staff and expenditure) forecast hma and dhm budget. Act as requisitioner for payments relating to hma’s and dhm’s events. Potential managerial responsibility within private office team. Essential on arrival essential qualifications, skills and experience bachelor’s degree on international relations, political science, business management, law, modern languages or other related subjects. 4-5 Years of relevant work experience in strategic roles. Knowledge and understanding of the executive branch of the colombian government. Fluent english and spanish (experience in writing complex documents). Public and foreign policy knowledge. Excellent it skills, particularly microsoft office suite. Excellent interpersonal, organisational, writing and communication skills. Leadership skills.
