Job Position: Leasing Coordinator - LATAM Location: Remote (PST Timezone) Work Schedule: Monday to Friday, 08:00 AM to 04:30 PM PST Job Description: Primary Function: The primary function of the Leasing Coordinator role is to facilitate the leasing process and support the Resident Relations department. This involves handling incoming inquiries from prospective tenants, managing communication channels, scheduling tours, updating marketing materials, processing applications, and assisting with various aspects of resident relations such as contract creation, move-in procedures, pet policies, roommate changes, and handling legal documents and notices. Leasing: Addressing incoming leasing inquiries and answering questions - Daily; answering questions regarding property info, availability, and application process with accuracy and direct calls to the appropriate staff/department. Distribute Daily List - Daily; email daily and pending list to all staff. Distributing voicemails - Daily; distribute to appropriate staff/department by 8:30am, after lunch, prior to closing. Managing guest card and lead emails and texts - Daily; send guest cards/leads the daily list texts and emails according to daily reports. Scheduling self-guided tours for prospective tenants - Daily as needed; accept tours on Tenant turner and schedule tours for prospective tenants over the phone for vacant units. Updating 360 tours for marketing purposes - Daily as needed; create 360 tours and update marketing descriptions and photos. Updating and maintaining marketing and advertising materials - Daily; Create, Renew, Repost and Delete Craigslist Ads, Update AppFolio marketing, TenantTurner marketing and website with current availability/unit information. Double-checking marketing materials for accuracy - Weekly; complete marketing double check to ensure accuracy. Processing Applications - Daily; conduct application questions, collect missing documents, and collect applicant information. Collecting Application Fees - Daily as needed; take application fee payment over the phone. Answering and directing phone calls & emails - Daily; direct calls and emails to the appropriate staff/department. Resident Relations: Contract Creation - Daily as needed; create contracts for new move ins or file changes Confirming that rental agreements are signed and countersigned and adding them to the tenant's page - Daily as needed; ensure rental agreements are signed by the due date and counter signed. Handling new move-ins communication and collecting missing items including utilities and renters insurance - Daily as needed; communicate next steps, collect account #s from tenants and ensure renters insurance policies meet company requirements by move in date. Scheduling key-pick up appointments for new move-ins - Daily as needed; send key pick up link to tenants in correlation with move in date. Handling matters related to animals and pets in the property; Conduct in person dog interviews - Daily as needed; follow policy and process, advise tenants of process, collect proper documentation, review, and submit for approval to Resident Relations Manager Process roommate changes - Daily as needed; follow policy and process, collect proper documentation, review and submit for approval to Resident Relations Manager Processing 30-day notices, lease breaks, and renters insurance policies - Daily as needed; process notices, send necessary tenant communications and ensure renters insurance policies are valid and updated. Communicate and sell Resident Benefit Package to current and future tenants - Daily as needed; communicate RBP benefits to tenants/future tenants and encourage them to enroll. Handling Annual Inspections Yearly; schedule, notify tenants, answer tenant questions, and submit annual inspections for review to the Resident Relations Manager. Create Notices and other legal documents for tenants - Daily as needed; adhere to ORS 90 for required communications Skills: Excellent verbal and written communication for interacting with prospective residents, current residents, and internal staff via phone, email and direct messages. Organization while managing multiple tasks and inquiries to ensure nothing falls through the cracks. Attention to detail and accuracy when updating marketing materials, processing applications, and handling legal documents to avoid errors or miscommunications. Excellent customer service to maintain a positive relationship and foster a sense of trust in the property management company. Listening skills to understand prospective residents and current resident needs and directing them appropriately. Problem-solving to be able to address inquiries and resolve issues effectively to maintain resident satisfaction. Adaptability to change priorities and handle various tasks in a fast-paced environment
